At Stiletto Legal Group, Nicole has developed customized workflows using DocReviewPad to review, tag, and analyze thousands of pages of nursing home records. She begins by importing scanned medical records into DocReviewPad, applying Bates stamps, then breaking larger files into smaller, topical volumes—nursing notes, physician orders, MARs, TARs, vitals, assessments, etc.

She then assigns custom Issue Codes for each case, including color-coded identifiers for staff members, medical complications, medication changes, and red flags in the chart. This granular organization enables secure document exports for AI analysis.

Nicole understands that AI is another tool in her arsenal, but like everything else, it must be used wisely. Running large documents randomly through AI engines risks overbreadth, missed patterns and even worse, hallucinations.

Tagging documents with witness names, such as nurse aids, physicians, administrators, etc., allows you to export all necessary documents for a particular witness with a few keystrokes. Pulling a few hundred pages from a 10,000-page nursing home chart used to take days; now it takes seconds.

That same export also becomes the foundation for her deposition outlines.

During deposition, Nicole ensures TranscriptPad is loaded with the entire transcribed record of the case to date. A search for a term referenced by a previous witness yields instant results during the deposition. This allows her to compare other testimony of witnesses, experts, etc. and refine her questions for every witness as the deposition proceeds.
