Backing Up and Sharing Case Files is Easy!

If you’ve worked long hours creating and assigning issue codes, organizing witness folders, or making video clips, you owe it to yourself to have a backup copy of all your work. So, let’s talk backups!

Your iPad device has the ability to back up everything to iCloud, including all your LIT SUITE Case Files. If you choose to use that backup feature, you will be able to fully restore everything on the iPad up until the date and time of that backup. Usually iCloud backups occur overnight when your device is connected to a Wi-Fi network, and charging. While the ability to restore your entire iPad is a powerful feature, it is a process that can take quite a bit of time, and requires wiping your device first in order to restore it. But we’ve got great news! The new LIT SUITE makes backing up or sharing your Case Files faster and easier than ever.

You can now back up an entire Case File quickly using Email, AirDrop, a third party cloud storage provider, or a USB drive.

AirDrop:
To back up or share a Case File using AirDrop, first find the Case File in the Case Selection Screen or the Files app, then long-press the name of the Case File. Tap on the Share button, tap on the AirDrop icon, then tap on the device icon that you want to share the Case File with. Choose to accept the file on the accepting device, and choose the appropriate LIT SUITE app for the Case File you are sharing. Your entire Case File is now saved on a second device!

This quick video shows how to backup or share a Case File in TrialPad, but the same process can be used in TranscriptPad or DocReviewPad.

USB Drive:
Connect a USB drive to your iPad and make sure it appears in the Locations sidebar in the Case Selection Screen or the Files app. Find the Case File in the Case Selection Screen or the Files app, then long-press the name of the Case File and tap on the Move (not Copy) option. In the popover, select the USB drive and tap the Copy button. Make sure to allow enough time for the file to copy, after which the popover will close. The Case File is now on the USB drive to be stored safely, or it can be used to load the Case File onto another iPad or Mac device.

Email:
Small Case Files can even be shared or backed up by email! First, note the size of your Case File as well as any file size limitations your email and your recipients email may have. A Case File under 20MB can be shared with most email systems. To email a Case File, open the Files app, and navigate to the Case File you wish to email. Long press on the Case File name and choose Compress. A copy of the Case File will be saved as a .zip file. Long press on the .zip file that was created, and tap the Share button. Then select Mail/ If you are not using the native Mail app to send and receive email, you can send your Case File using another email app, such as Outlook. Type the email address of your intended recipient, and tap Send.

Third Party Cloud Storage Providers:
You can upload your Case Files to third party cloud storage providers, but the Case File has to be compressed first. Open the Files app, and navigate to the Case File you wish to upload. Long press on the Case File name and choose Compress. A copy of the Case File will be saved as a .zip file. Long press on the .zip file that was created, and tap the Move button or the Share button. Select the cloud storage destination, and press the Copy button, making sure to allow enough time for the file to copy, after which the popover will close.

Backing up or sharing a Case File is easy with lots of new options, and a transfer process that is quicker than ever. Consider working backups into your routine in your practice and never lose any of your work.
